Cargas Energy Data Migration Overview

Data migration is one of the most critical phases of any new software implementation. Many fuel dealers share a common challenge: most of their valuable business data is contained in legacy software systems they want to replace, but they are concerned about how well that data will transition to a new system.

Cargas has many years of experience converting data from dozens of legacy and custom systems. We try to simplify and streamline the process while providing enough time for feedback and data validation to make the process as seamless as possible. We have an experienced team dedicated just to working through this process with you.

The first step is to identify where all your customer and company information resides today. That could be in your legacy fuel delivery software, internal database, accounting system or spreadsheets. Next is to think about the information you have in these repositories and determine if the data will need to be cleaned up before importing into Cargas Energy.

Data Preparation And Export

Your team will be asked to export a copy of your data in one of the various file formats to move your data into Cargas Energy. They are listed from the most ideal file format to more manual and time consuming methods.

You may need to talk to your internal IT or consulting company to help with the database preparation and export. For customers that do not have IT resources, Cargas will work with your team to assist in exporting the appropriate data.

Data Import

Once we have the data from your existing system, the data migration process typically happens over an 8 week implementation time frame. The Cargas team takes the first 2 weeks to format and map the exported data. Our team has experience migrating data from nearly all the common legacy fuel delivery systems on the market today.  We use prebuilt scripts to streamline the process and can even typically import data from custom systems; however, this may require more of a manual process and additional time that could affect the total implementation cost. 8 Weeks

Data Validation

We dedicate the remaining 6 weeks of the project timeframe for your team to review the imported data in your Cargas Energy instance. We do this because you know your customer data best and can look over your data to ensure accuracy. It is expected that, based on the feedback, adjustments to the mapping and import procedures will need to be made. Because we’ve invested the time earlier in the process to script many of the procedures, subsequent refreshes of the data can happen quickly.

Remaining 6 Weeks

Final Import And Go-live

At this stage of the process we’ll establish a go-live date. We will export another copy of your database to provide the latest information, and perform a final import. Once the final import of the database has been migrated, you will stop working in your legacy system and work solely in Cargas Energy.

For post go-live support, we keep resources available to respond to any issues that may have been missed during the validation phase.
