CHALLENGES
Manual Processes, Technical Roadblocks, and High Costs Held Cubby Back
According to Tony Uglietto, General Manager, when he joined the family business in 2014, it was obvious that Cubby’s existing fuel delivery system was holding the company back.
“I was a computer science major and started working there and realized they weren’t really using any of its capabilities,” Uglietto explained.
Many everyday tasks were still manual. The team printed delivery tickets, built routes by hand, and entered all completed deliveries into the software the next day.
“We used to have someone take all the delivery tickets every morning and manually punch them in—this many gallons on each account,” Uglietto explained.
Will-call deliveries were also inefficient. Drivers would finish their routes and call the office for new will-call deliveries, only to find they’d passed those stops earlier in the day.
Service calls were handled manually, too, taken over the phone, and recorded in a binder.
Beyond the manual workflows, Cubby also ran into problems anytime the team wanted to improve the system. They were locked out of changing even basic settings, and larger upgrades came at a steep cost.
“Every time we wanted to do something in [the software], it was a module that we had to add on, and it was extremely expensive,” Uglietto said.
Integrations added another layer of frustration. “Pretty much anything connected to the system didn’t work the way that I would hope it would work,” Uglietto explained.
The system’s limitations were hard to ignore. Cubby needed technology that could support the team’s daily work and make growth easier.
SOLUTIONS
A Modern Interface, Web-Based Platform, and Real-Time Connection
When Uglietto started evaluating other solutions, the Cargas Energy interface stood out. He said the Cargas UI was “the first one that looked like a modern system.” The Cubby team also liked how Cargas Energy worked.
“The number one thing that we liked was that it’s a website—that we didn’t need to have VPNs anymore. That it doesn’t matter if I was at home, on vacation, wherever—I can pull up the screen like I’m sitting at my desk.”

In addition, Uglietto described the connection between Cargas Energy’s mobile apps and the back-office as “light years ahead of everything else.”
A reference from another Cargas Energy customer sealed the deal, and the Cubby team completed their Cargas Energy implementation in the summer of 2017.
Over time, Cubby added more Cargas-supported solutions. Cargas Energy remains the core operational system, while Sage Intacct supports accounting and financial reporting, and HubSpot supports the sales process.

BENEFITS
The Efficiency Needed to Scale
Since switching to Cargas Energy, Cubby has replaced many manual tasks with more efficient digital processes. There have been significant gains on the fuel delivery side of the business.
Instead of entering delivery tickets manually, Uglietto says, “Now we just click a button at the end of the day and send out the invoice. No delay trying to get all the delivery tickets in [the system]. So from a delivery standpoint, a ton of efficiency.”
Cargas Energy also gives the Cubby team the flexibility to add will-call stops to existing routes with a single click.
Better routing has helped Cubby serve customers more efficiently during the heating season.
“I think we were running 22 or 23 trucks a couple days this winter, and you can have pretty much one person build out 20 trucks’ worth of routes. Before, when we were doing it by hand and shuffling, we would have had to have like five people, six people, spend half the day doing that.”

On the service side of the business, the office team has the information they need at their fingertips to answer customer questions instantly. “We used to have to call the tech, then call the customer back,” Uglietto explained. “Now, we can just pull up the work order. [The techs] have already typed everything into their notes. It’s much smoother, and we get info faster.”
The biggest impact: Cargas Energy helped Cubby scale. Since 2014, Cubby has acquired 15 companies.
Cargas Energy makes it easier for Cubby to bring acquired companies onto the system. Uglietto can manage the data migration himself, and new teammates can start using the software right away through the web-based platform. Divisional security also helps Uglietto manage multiple brands under the Cubby umbrella.
“Any time we bring in a new employee or bring in a new company, everyone picks up on [Cargas Energy] very, very quickly, especially if they already know the industry.”
Because of its acquisitions, Cubby has expanded its customer base from about 3,000 to 20,000. The team has successfully handled the growth thanks to the efficiency they’ve gained.
“It has really allowed us to grow without like doubling, tripling, quadrupling our office staff. Fewer people can handle more accounts much easier because the processes are so much smoother.”

The Cubby team also values how Cargas Energy, HubSpot, and Sage Intacct work together. “The integration piece just saves us so much time in terms of reporting,” Uglietto explained. “You know everything’s accurate and it’s pretty much live.”
Uglietto also values working with one vendor across multiple products. “I do like being able to go to one place. Knowing both sides of the integration is a huge benefit.”
Looking ahead, Cubby plans to continue growing through acquisitions and expanding into new business areas. Uglietto is confident Cargas can support that growth. “If you’re looking for a software that’s able to grow as technology is growing, [Cargas is] the option,” he said. “The number of things that you guys add and update all the time, it seems like you’re constantly trying to improve.”
